Scheduling and resource management

Overview
Auditdata is a data-driven cloud-based management system for audiology clinics. The goal of the project was to design the next generation of their scheduling system.

Research
Interviewed stakeholders to gain insights into their process, needs and pain points. We then summarized into the following problem statements.

Problem statements:
‍Users can only view five calendars at a time. Companies need to see all calendars across their location.

Users can only view one location at a time. Users needed to see calendars scheduled across multiple locations.

Need a global way to see personal calendars. when working in other pages of the application you lose track of your schedule.

All calendars attached to an appointment were booked for the entire duration. Calendars attached to appointments required independent start and end times to minimize downtime and maximize resources.

The calendar only has  one layout.  User wants visibility of the entire location or to focus on one calendar for the day for the week.

Process
We worked through wireframes to find the direction and detail the requirements. Working with both product owners and developers to align everyone with the project.

Once all teams were happy with the direction, we created high fidelity designs and developed prototypes. We reviewed the prototype with all stakeholders to ensure understanding and alignment for the first iteration. Once all stakeholders were aligned we documented detailed interaction models and UI/UX specifications to ensure faster builds and fewer iterations.
Day view
Gives clear visibility of all calendars at a location with a better visual of calendar availability, appointment type and duration.
Week view
Gives a clear picture of appointments over multiple days with a better visual of calendar availability, appointment type and duration.
Schedule view
The benefit of schedule views is it's compact list of all appointments focusing only what is booked.
Gannt view
Gannt view is best for many calendars over multiple days.
Responsive for web, tablet and mobile
The scheduler was required to work on web, tablet and mobile.

Outcome:
This allowed them to focus on one product and ensure full functionality across all platforms.
Global side panel
we created a  side panel that was independent of the application allowing the user to always have visibility of the schedule while navigating the application. If the panel is closed a notification of upcoming appointments would alert the user.

Outcome:
By introducing the independent side panel users were able to have global visibility of there schedule.

Auto tinting
The appointment text can automatically toggle between light and dark mode based on the contrast of its background. Since the background colour is customized by the user, I needed to ensure readability.

Outcome:
By making the component detect the proper tint to use, the customer was free to select from a larger color palette to more effectively differentiate the categorization.
Managed Calendars
Each calendar attached to an appointment could have different start and end times, giving more granular control of individual calendar and resource

Outcome:
This greatly opened up availability of all resources, maximizing utilization, and increase profit.
Find Availabilty
Finding an appointment can be difficult when balancing a patients availability with all dependent calendars.

Outcome:
By gathering patients availability and required resources we filter the calendar to display available time slots. Allowing a user to skip to any available timeslot where all dependencies align.

Swap Alternates
The calendars are grouped by a resources type so that we can alternate between any similar resources to create an appointment with as few conflict as possible.

Outcome:
By introducing Swap alternates we were able greatly increase availability options, Optimize resource management and streamline the creation of appointments
Prototype
This prototypes was created to get a feeling for the mobile application and to better communicate with the team.
